Database reactivation for home service companies: tools and how it works

You already paid to get every name on your list. Here is how to get jobs out of the customers and leads you already have, and what tools do the sending.

The short answer: database reactivation means sending a short text or email to old customers and leads to restart the conversation. Any CRM that can send bulk texts and stop when someone replies can do it. That includes GoHighLevel, which is what I use, plus the campaign tools inside many field service apps. The tool is the easy part. The list and the message decide whether it works.

Most contractors have years of names sitting in a phone, a spreadsheet, or old invoices. Every one of those cost money or work to get, and most never hear from you again. Your competitors' postcards are reaching them instead.

What tools automate database reactivation?

You need four things, whatever the brand:

  • It can import your list and tag people as past customers or old leads.
  • It can send texts and emails on a schedule, in small batches.
  • It stops automatically when someone replies, so nobody gets a follow-up after they said yes.
  • It handles opt-outs on its own.

GoHighLevel does all of that. If you already pay for a field service app like Housecall Pro, Jobber, or ServiceTitan, check its marketing features before buying something new. Those differ by plan, so look at yours. AI can help by holding the first few messages of a conversation when replies come in, but you do not need it to start.

How to run one

  1. Pull every name you have. Invoices, your phone, your old CRM, the estimate folder.
  2. Split it in two. Past customers are one list. Estimates that never booked are another. They need different messages.
  3. Clean it. Take out anyone who asked you to stop, anyone you never want to work with again, and anyone with an open complaint.
  4. Check your permission. Texting has rules, and your number must be registered before bulk texts will go through. Only text people who gave you their number for your business, and include an opt-out. I am not a lawyer, so if you are unsure about an old list, use email or ask someone who is.
  5. Send in small batches. Twenty or thirty a day, so you can actually answer the replies.
  6. Reply fast. A warm reply that sits for two days is wasted.

What should the message say?

Short, personal, and about them. Not a coupon blast.

Past customer: Hi [Name], it's [You] with [Company]. We did your [job] back in [year]. I'm booking my [season] schedule and thought of you. Anything around the house you've been meaning to get to?

Old estimate: Hi [Name], it's [You] with [Company]. I gave you a quote on [job] a while back. Did that ever get taken care of?

The second one works because it is an easy question. A simple "no, not yet" is the start of a job.

When should you send it?

Right before your slow season, or right before a seasonal need. Furnace checks ahead of winter, gutters ahead of fall, exterior paint before spring books up. It is one of the few things that can put jobs on the board in a couple of days, without paying for a single new click.

I am not going to promise you a response rate. It depends on how old the list is and how much people liked you. Once you have run it, the only numbers that count are replies and booked jobs. Then keep it going a few times a year so the list never goes cold again.

Sitting on a list you've never used?

I'll help you figure out what's in it and set up the campaign so the replies come to your phone.

Frequently asked questions

What tools automate database reactivation campaigns for home service companies?

Any CRM that can import a list, send texts and emails in batches, stop when someone replies, and handle opt-outs. GoHighLevel does this, and many field service apps have campaign features that vary by plan. Check what you already pay for first.

What is a database reactivation campaign?

A short text or email campaign to past customers and old leads that restarts the conversation and books jobs from people you already know, without paying for new leads.

Can I text my old customers?

Texting has rules. Your number needs to be registered for business texting, you should only text people who gave you their number for your business, and every campaign needs an opt-out. If you are unsure about an old list, use email or get legal advice.

How often should I run a reactivation campaign?

A few times a year, usually ahead of your slow season or a seasonal need. More often than that and people start tuning you out.
